The Fleet Manager role will sit within the People Services function reporting to the Senior Manager – Payroll & People Services. The People Services function is responsible for the end-to-end administration of the colleague lifecycle including key areas such as:
- Contract Production/Amends
- Leaver Processing
- All Statutory Leave Processing (SMP/SPP/SSP etc)
- Statutory Returns (P11D, P60, P45 etc)
- Pension Governance & Administration
- Minimum Wage Compliance
- Payroll Processing for 12,000 colleagues
- Car & Van Fleet Management
The team are responsible for the timely production of all payroll activity always ensuring the highest degree of accuracy. A major component of our activity relates to statutory compliance including HMRC, Pension Regulator and Minimum Wage and compliance is at the forefront of our minds in everything we do. The team work closely with internal stakeholders including but not limited to: People Business Partners, Finance, Tech, Reward.
What you'll be doing
This is a hands-on role with plenty of variety, no two days will be quite the same. You’ll be at the heart of our fleet operations, making sure everything runs smoothly, efficiently, and with a keen eye on cost and sustainability.
- Keeping our outsourced van and car fleet partners on track, ensuring day-to-day operations are smooth and effective.
- Digging into cost data – especially anything out of contract – and making sure we’re getting value for money.
- Handling escalations with care and speed, resolving issues or passing them on to senior colleagues when needed.
- Spotting trends in fleet activity and recommending smart, practical actions to improve things.
- Working closely with our M2M (Made to Measure) business management team to keep that part of the fleet running like clockwork.
- Managing and analysing telematics data to highlight areas of concern and opportunity.
- Leading regular business reviews and keeping stakeholders in the loop.
- Challenging unnecessary costs and making sure we’re always getting the best deal.
- Keeping our fleet systems up to date and aligned – both internally and with external partners.
- Running a slick fines management process to cut down on admin and keep things simple.
- Managing end-of-term damage charges and recovering costs where needed.
- Making sure our company car and van policies are current, shared, and followed.
- Overseeing driver licence and grey fleet checks with our external provider.
- Working with our Finance team to ensure fleet costs are correctly allocated.
- Keeping a close eye on ad-hoc vehicle hire and suggesting ways to reduce spend.
- Reviewing and improving existing fleet processes to boost efficiency.
- Collaborating with our Health & Safety team on high-risk driver cases.
- Owning all fleet-related P11D and P46 Car reporting.
- Ensuring all vehicles are properly insured and our insurance database is up to date.
- Managing accident processes with our fleet providers and escalating issues when needed.
- Reporting on progress and performance to stakeholders across the business – clearly and confidently.
